Personalized Reminders

Encompass-CX typically sends automatic reminders to your contacts after the survey invitations have been sent. However, there are some situations where it may be beneficial to have your contacts receive the reminder directly from your email address. There are a few ways this can be done.


Method 1: Contacts Page
  1. Go to the Contacts page.

  2. Click the name of the contact you wish to send a reminder.

  3. On the contact's page, there is a distribution status chart below the responses chart. Determine which distribution you want to send a personal reminder for. Click the "Reminder Email" button within that row. 

  4. The "Generating a Reminder Email" box will open. The distribution in the row you selected will automatically be used in this email. Press the "Generate Reminder Email" button.

  5. The personalized reminder message will then open in a new email in your designated email provider. Make any adjustments to the message if you desire (do not remove the embedded link) and then hit "Send" to send your personal reminder email to your contact.


Method 2: Within an Account
  1. Go to the Accounts page.

  2. Click the name of the account in which your desired contact is located.

  3. Once you are within the account, click the "Survey Status" tab.

  4. On the Survey Status page, find the contact you wish to send the personalized email to and press the "Reminder Email" button in the Send Personal Reminder column.

  5. The "Generating a Reminder Email" box will open. The distribution in the row you selected will automatically be used in this email. Press the "Generate Reminder Email" button.

  6. The personalized reminder message will then open in a new email in your designated email provider. Make any adjustments to the message if you desire and then hit "Send" to send your personal reminder email to your contact.


Method 3: My Distributions Page
  1. Go to the Distributions page within the Activity section.

  2. Use the "Reminder Email" button in the Send Personal Reminder column to generate the reminder email. Contact information and the distribution status can be found in each row. 

  3. The "Generating a Reminder Email" box will open. The survey for this distribution (found in the Survey Name column) will automatically be selected for this reminder. Press the "Generate Reminder Email" button.

  4. The personalized reminder message will then open in a new email in your designated email provider. Make any adjustments to the message if you desire and then hit "Send" to send the personal reminder email to your contact. 


You can use the filter button on this page. For example, if you want to send personal reminder emails to incomplete survey distributions, use the Status filter option to select all statuses besides finished. 


You may send a personalized email more than once. Encompass-CX tracks each time you click the "Generate Reminder Email" button. If you have already clicked to generate a reminder for the most recent distribution in a particular survey, the button will turn to green, and clicking it will give you the date and time stamps from when it was previously clicked.


Because this message is sent from your personal email provider, we can only record when you click this button, not if you actually sent the email. You will have to send the email manually when it pops open in your browser. In the event you cannot remember if you only clicked the button or if you clicked it AND sent it, you should check your Sent folder in your email.


Survey links only remain active for 60 days. If the link is expired you will not be able to send a personalized reminder. Please contact your admin if you have any issues regarding a survey link.
